What connects, and exactly how.
Two-way where it’s built, a file where it isn’t, and no pretending otherwise. QuickBooks Online is the only two-way accounting link today; Sage, Vista, Spectrum and JD Edwards get a file export. If something you use isn’t here, ask on the call.
The table.
| System | How | What it does |
|---|---|---|
| QuickBooks Online | Two-way | Invoices go from the signed LEM into QuickBooks Online, on that client’s rates, and paid status comes back. Your QuickBooks administrator approves the connection and can disconnect any time. How it connects. |
| Sage, Vista, Spectrum, JD Edwards and other accounting | Export | Invoices, LEMs and hours export as CSV files, with the signed PDFs, for your office to import. It isn’t a live connection: nothing is sent to these systems automatically, and nobody retypes a LEM. |
| Supplier portals | Package to upload | For supplier portals such as SAP Ariba, Coupa and Enverus OpenInvoice: the invoice package comes out ready to upload, with the PO, the work order and the signed backup. It isn’t a direct portal connection; someone in your office uploads it. |
| SAP and Maximo backlogs | Import | Load the client’s backlog export as a spreadsheet into Work Management. Columns are mapped once per client and every upload matches on the client’s work order number. Nothing is written back into the client’s system. |
| SAP-style codes (Fieldglass and others) | Settings | Fieldglass-style SAP codes, the client’s user status codes and their wording (SAP or Maximo terms) are set per client in Work Management settings, so your paperwork uses their words. |
| HeavyBid | Import | Estimates come into Quick quote, so the work you’ve already priced comes with you. |
| DocuSign | Optional | If a client wants LEMs signed through DocuSign, they can be. Otherwise the client’s rep signs on the foreman’s phone or from a link, with no account. |
| Payroll | Export | LEM hours by person, straight time and overtime, export as a spreadsheet for whoever does payroll. |
Export means a file you can open in a spreadsheet or load into another system. Two-way means the systems talk to each other without anyone moving a file.
