Security & data
Your data, in Canada, yours to take.
Where your records live, who can see them, how people sign in, what the app records about location, and what happens if you leave, or if we’re gone. Plain words; the legal version is in the privacy policy.
The short version.
- Hosted in Canada
The database and file storage are in Canadian regions, and backups are kept in Canada. The services that deliver email and e-signatures may process data outside Canada, as the privacy policy says.
- You own your data
Export it any time: CSV files and the signed PDFs. Including the day you leave.
- Backed up daily
Daily backups by our database provider, plus weekly copies we control, kept in Canada.
- Sign-in by emailed code
A one-time code sent to the person’s email; any address works. Only emails your office has invited can sign in, and there are no passwords to forget or share. The phone stays signed in so the app works with no signal. Crew without a login sign on through the foreman’s phone.
- When someone leaves
Your office turns off their sign-in. From then on they can’t open the company’s records, even with a personal email address, and the app signs them out the next time it opens.
- Roles
Each company sees only its own data. Inside it, the foreman, the office, operations and your client each see what their job needs. Your client sees status, not your internal notes or rates.
- Records keep their history
Every change keeps who made it and when. Signed records are locked and fingerprinted. In the safety logs, a mistaken line is voided with a reason, not deleted.
- Your clients’ information
Owner information you load, such as rate sheets, approvers, permit forms and backlog exports, is yours to share under your agreement with that owner. We treat it as your confidential information, use it only to run your account, and never share it with another contractor. Nothing is written back into the owner’s systems.
Location
Stamped on the form. Never tracked in between.
Location is stamped only on the forms you fill in, to show where the work was done. The app captures it when a form is opened and saved. It is never tracked in between. The phone asks first, and you can say no.
Who can see it: your company’s office, on the form itself. It’s there so the record shows where the work was done, which backs the crew up if anyone asks.
Fingerprinted, in plain words
Change one character, and it shows.
When a record is signed, the app works out a short code from everything in it: a cryptographic hash. We call it the record’s fingerprint. If anyone changes a single character later, the code no longer matches, and the audit report shows it.
The fingerprint prints on the signed copy and on the audit report. Signed records are locked, and every change to a record keeps who made it and when.
If you leave, or if we’re gone
You keep everything. You’re never trapped.
- If you leave
You get a full export of your records, CSV files and the signed PDFs, and we keep your data for the time your agreement sets so nothing is lost in the move.
- If we’re gone
The same full export, plus a handover, so your apps and your records can keep running without us. Your company owns its data, and the agreement says so.
- If something breaks
The crew app keeps working with no connection and syncs later. Uptime is monitored around the clock.
For procurement
Supplier documents on request.
Setting us up as a supplier, or answering your owner’s security questionnaire? Supplier documents are provided on request: insurance certificates, the WCB clearance letter and the GST registration. Ask and we’ll send them.
Service providers we use are listed in the privacy policy: database, sign-in and file storage in Canada; email delivery; backups in Canada; QuickBooks Online and DocuSign only when you connect them.
Questions
About your data.
Where is our data stored?
The database and file storage are in Canadian regions, and backups are kept in Canada. The services that deliver email and e-signatures may process data outside Canada, as the privacy policy says.
Can we get our data out?
Any time: CSV files and the signed PDFs. Including the day you leave.
What happens when someone leaves?
The office turns off their sign-in. From then on they can’t open the company’s records, even with a personal email address. Only emails the office has invited can sign in at all.
Does the app track our workers?
Location is stamped only on the forms you fill in, when a form is opened and saved, to show where the work was done. It is never tracked in between. The phone asks first, and you can say no.
What does “fingerprinted” mean?
A fingerprint is a short code worked out from a signed record (a cryptographic hash). Change one character later and the code no longer matches, so any change shows. It prints on the signed copy and on the audit report.
What if you’re gone?
You get a full export of your records (CSV files and the signed PDFs) and a handover, so your apps and your data can keep running without us. Your company owns its data, and the agreement says so.
Next step
Bring one form. We’ll show you the rest.
Send a FLRA, a LEM, a rate sheet or the invoice that’s been sitting. In 30 minutes we’ll show you what we’d set up around it, and what it costs. Then it runs 30 days on your real work before the first monthly fee.
