Privacy Policy
Scoreline Partners ("Scoreline", "we") builds and runs software for industrial contractors across Canada: the Safety & LEM crew app (field safety forms and labour, equipment and materials (LEM) records, with the yard and permits add-ons), Field to Paid (job tracking and invoicing), the client portal, Work Management and Quick quote. This policy explains what information we handle, why, where it is kept and the choices you have. We follow Alberta's Personal Information Protection Act (PIPA) and, where it applies, Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
Who this covers
- Our clients: the companies that use our software, and their staff who sign in to it.
- Their clients and contacts: for example, a client representative who signs a LEM from a link we send for our client.
- Visitors to this website and people who contact us.
For information our clients put into our software (their records, their crews, their customers), our client is responsible for it and decides how it is used. We handle it on their behalf and only to provide the service.
What we collect
- Account information: name, email address, role and company for each person who signs in. Crew members can also be signed on by their foreman without an email address.
- Records you create: forms, inspections, LEMs, signatures, photos and files you upload, the date and time of each entry, and, when the person allows it on their phone, the location where a form was opened and saved. Location is captured only when a form is opened and saved, to show where the work was done; it is not tracked between forms, and a person can decline.
- Accounting data, only when you connect QuickBooks Online: see "Connected services" below.
- Website contact form: what you type into it and any document you attach.
- Technical data: basic logs (time, device type, errors) used to keep the service running and secure. We don't use advertising or tracking cookies.
How we use it
- To provide the service our client has signed up for: storing records, sending sign-in codes and signing links, creating invoices, producing reports.
- To keep it secure, back it up, and fix problems.
- To answer you when you contact us.
We don't sell personal information or business data, we don't use it for advertising, and we don't share it with anyone except the service providers listed below, or when the law requires it.
Connected services (QuickBooks Online)
If our client connects its QuickBooks Online company to our software, Intuit asks the client's QuickBooks administrator to approve the connection. Once approved, we access only what the invoicing feature needs:
- customers, products and services, tax codes and terms, to build invoices;
- invoices we create from client-signed LEMs, and their payment status, so the client can see what's been paid.
The connection keys Intuit gives us are stored encrypted on our servers and are never shown in the app or sent by email. The client can disconnect at any time, in our software or from QuickBooks. When it does, we delete the connection keys right away. Invoice numbers and payment status already recorded stay with the client's records, as part of its history, until the client asks us to delete them under its agreement. We use QuickBooks data only to provide the invoicing feature to that client, and we follow Intuit's terms for apps that connect to QuickBooks.
Where your information is kept
Our databases and file storage are in Canada (Amazon Web Services, Canada Central region, through our database provider). Backups are kept in Canada (Backblaze, Canada East). A plain-language summary is on our security page. Some providers below handle limited data outside Canada, for example to deliver email; where that happens, the data may be subject to the laws of that country.
How we protect it
- Encryption in transit (HTTPS) and at rest.
- Each company sees only its own data; access inside a company follows each person's role.
- Sign-in by one-time code sent to the person's email address, or sign-on by the crew's foreman; access is by invitation only.
- Records keep a history of every change, with who made it and when, and signed records can't be altered. Each signed record carries a fingerprint (a cryptographic hash), so any later change shows.
- Daily backups by our database provider, plus weekly backups we control, kept in Canada.
How long we keep it
We keep a client's records for as long as its agreement with us is in place, and for the time the agreement sets after it ends (so the client can take a full export as CSV files and signed PDFs), unless the law requires longer. Website messages are kept for up to two years. Backups roll over on a fixed schedule.
Your choices and rights
You can ask to see the personal information we hold about you, ask us to correct it, or ask how it has been used. If the information belongs to one of our clients' records, we'll work with that client to answer you. You can also withdraw consent where the law allows; we'll tell you what that would mean for the service. To ask, write to us at the address below. If you aren't satisfied with our answer, you can contact the Office of the Information and Privacy Commissioner of Alberta.

If we change this policy, we'll post the new version here with a new date. If a change affects how our clients' data is handled, we'll tell those clients first.
